New User Application Process

What must be done before this process is started:
New User Application submitted to Help Desk Manager.
Help Desk ticket is opened, which sends supervisor email that the New User Application form has been received and is being processed.
Which processes are waiting for this process:
The New User Application must be processed before an employee has the ability to log into the SBCCD Network, Email, Datatel and Financial 2000.

Help Desk Manager maintains a UL designation document which identifies who to forward the application to after the Help Desk has completed the following, if a Datatel Account is also requested.
1) Network Account - processing doc. #21
2) Email Account - processing doc. #24
3) Datatel Account - processing doc. #27 IF REQUESTED
4) Financial 2000 Account - processing doc #213 IF REQUIRED
What is the end-result of this process, or the hand-off
Employee has the ability to log into the SBCCD Network, Email and Datatel.
Help Desk closes the help desk ticket which sends email to the Employee`s supervisor that includes the new employees Network Username and Password and their Datatel User ID and Password.
After all processes have been completed, UL emails employee and employees supervisor with Datatel login information, including link to Documentation Library.
What steps must be taken independent of the computer system (Manual Process)
Help Desk manager forwards New User Application form to appropriate UL. The new user application form will include information of the person previously in the employees position or with similiar duties. This information is required for assigning Datatel access.
After Datatel security is completed, UL sends email to new user and their supervisor with Datatel login and documentation information. New User Application form is returned to the Help Desk Manager, who copies form, files one copy and sends one copy to supervisor who signed form.

1) Build Security Operator Definition (SOD)(i.e. process #73)
2) Build Staff/Volunteers (SVM) - process doc. #56
3) IF NEEDED, Build Cashier Setup (CSHS) if needed - process doc #73
4) IF NEEDED, Build Registration Users Group (RGUS) if needed - process doc #73
5) Send email to new user with Datatel user name, password, login information and Getting Started in Datatel documentation and accessing document library information.
6) Add this new Datatel User to the "Datatel Users" email distribution group in the address book of Outlook.
