epos/treg icverify file transfer to district

Office Responsible: DCS - District - Computing Services Process Type: internal
Position Title: Sr. Programmer/Analyst Author: JMoody
Cross Trained Staff: CGreen Manager: rdoidge Vice Pres.: RTemple

Timeline (Deadlines or Time-Constraints) :
Monthly, when requested
What must be done before this process is started:
District begins reconciliation of credit card reports and requests credit card information from epos. The request usually comes from Charlotte Williams.
Which processes are waiting for this process:
District completes reconciliation of credit card reports- the reports from epos are reconciled with other statements from the bank and with Datatel session reports (SEMA,SSRC).
Source documents or communication with information needed for this process:
icverify history files are stored on epos machines in the C:\Icwin226\DATADIR, with file names like icverifc.ymm. The ymm identifies the last digit of the year and the two digit month. The epos current file is moved to a history file each night, by the icverify "settle" process. The icverify setup specifies the time the settle is performed - currently (per advice from Nova) at midnight. Sometimes, I`ve noticed data for the last few minutes before midnight is stored in the next month`s history file. I think this may be because it`s still in another buffer at midnight - not yet written to the current file. Prior to advice from Nova, the settle was performed at 1 am - this may have prevented this anomaly.
What is the end-result of this process, or the hand-off
icverify history files are copied from epos machines to district server - email is sent to district accounting telling whoever requested the copy when it is done.
What steps must be taken independent of the computer system (Manual Process)
None.
Which steps must be taken on a computer (Electronic Process):
ftp from epos to district using icons "epos1xfer" and "epos2xfer". When the icon prompts to enter data, enter a three digit number, where the first digit identifies the year and the last two digits identify the month. For example "109" represents September, 2001. The ftp icons were created by Mike Fink, currently on the PC in my office.
Related Documents to Process (e.g. Datatel documentation, Government code books, etc.)
Datatel session reports (SEMA for Session Manager, SSRC for session reconciliation rpt) identify the operator as either epos1 or epos2 - this is probably based on a prior configuration when epos1 was dedicated to Valley and epos2 was dedicated to Crafton - now that the configuration has changed, epos1 would be more correctly identified as Valley lines and epos2 would be more correctly identified as Crafton lines. (Any other Datatel screens?)
Notes (Cautions, suggestions for improvement, etc.)
When icverify is replaced with WebAuth, the process will become obsolete. Could carry over a disk instead of using an on-line transfer - or get more bandwidth on the district connection. Cautions: Be sure files aren`t transferred in the wrong direction (don`t overwrite anything on epos.)
