OLD Faculty Eval Forms - Prepare File for Printing

What must be done before this process is started:
1. Receive the timelines from CHC and SBVC.
2. Receive XFEV Confirmation via e-mail.
Which processes are waiting for this process:
Once XFEP-Faculty Eval Print is run and the file is in the PrintShop`s "Faculty Evaluations" "Forms to Print" folder on the server, PrintShop staff can print the forms.

What steps must be taken independent of the computer system (Manual Process)
Which steps must be taken on a computer (Electronic Process):
1. Login to Datatel

2. From the "ST" Application, access the XFEP-Faculty Eval Print screen

3. Enter the following parameters:
For further information place cursor in any of the fields below, press F1 for "HELP".

a - College: SBVC or CHC

b - Term: Term Code (i.e. 2007sp or … for lookup) REQUIRED

c - Division: Division Code (i.e. VBUS, VPE)if College = CHC leave blank

d - Section Start By: Usually left blank

e - Max.# of Forms per file: Usually 999, REQUIRED

f - Action: Stamp or No Stamp - Select S - Stamp (Finalize)

g - Name of HOLD file: This option is NOT used (see Transfer Options)

h - Transfer Option: Click the blue detail button.

PC Directory: Browser to printshop server, OPEN Miscellaneous files, OPEN Faculty Evaluations folder, OPEN Forms To Print folder. Click OK.

PC File Name: If CHC, file name will be college, term, request number with .csv as file extension (i.e. CHC2011SP1.CSV) If SBVC, file name will be college, term, division code with .csv as file extension (i.e. SBVC2011SPVCMJ.CSV)

4. After parameters have been entered, press F10 or Save from the menu bar.

5. In the Output Device field on the "Peripheral" screen enter a "E" (no quotes) and press enter.

6. The MMRP-Modify Mail Recipients screen will appear.

7. In the Email Subject field enter the college, term, and division code (if SBVC) and FACEVAL FORMS.

(i.e. SBVC 2010FA VCMJ FACEVAL FORMS or CHC 2010SP FAC EVAL FORMS)

8. In the Email Recipients field on line 1 enter "DCSFACEVAL@SBCCD.CC.CA.US" (no quotes)

This will send email to staff envolved in the process including Print Shops staff, alerting them that there are forms to print.

9. Save out of all the screens

10. Access the "Print Shop Pro WebDesk webpage and submit request to have the faculty evaluation file from Step 3/h printed.
