What must be done before this process is started:

Voice recording changes, like script changes, usually derive from policy changes communicated through a UL (Deanna). Most changes tend to occur near the start of a new term.

Which processes are waiting for this process:

Voice recordings are played by Encore (ROAM screen).

Source documents or communication with information needed for this process:

Voice directory and file names are defined within the Encore configuration on each epos machine: D:\CCSEncore\scripts directory, file names like Sb_dtl5. They are updated with VoicePro.

What is the end-result of this process, or the hand-off

A revised recording becomes playable the next time the lines are restarted (through Encore). To install a new recording, update the script, translation table, or the Datatel TRGM screen.

What steps must be taken independent of the computer system (Manual Process)

Select person with voice to match other local recordings. Select PC with VoicePro and microphone for recording.

Which steps must be taken on a computer (Electronic Process):

EPOS Recording 1. Using RUN connect to EPOS1’s ccsactivedirectory. \\epos01\ccsactivedirectory 2. Copy the Voice/Datatel directory contents to your PC. 3. Run VoicePro, open set of files to be updated. Open one file within the set. 4. If you need to adjust microphone volume, Click on Volume control. Under Options on the Volume Control menu select Advanced Controls. Then again under Options select Properties, click on Recording and then OK. 6a. To update a phrase - click on the phrase, begin recording at cursor. Be sure to save both recorded voice and written words. 6b. To create a new phrase - 7. Create backup copies of current voice files. 8. Copy revised set of files back to EPOS (see Notes). Test first on one line?

Now that DCS is located in the 8th Street Annex, use remote access software (Dameware) to access epos in the CSB building on the Valley campus. From the PC with the updated Voice recordings, Start Program Dameware, Connect to epos. On local PC, select ProVoice files to transfer, right click within the selected files, Select "Dameware MRCC". This will put files in Dameware`s Remote Download Folder. On remote PC, select green icon for "Remote Download Folder", Select files in the folder, Copy and Paste to ProVoice folder on epos remote. Backup directories? Multiple files in the same set - the same recording may occur in each - not sure how the files are combined to select the one played.
